Administration Services Specialist with German ‎(w/m/d)

Workplace: Katowice, Poland (hybrid)

The Administrative Services Specialist provides back-end administrative support, focusing on structured processes, data management, planning and coordination support. This role helps main business process execution with maintaining accurate records, process documentation, and assisting with system-related tasks while ensuring smooth day-to-day operations at a right quality level. The position is primarily supportive and process-driven, with medium-level direct customer interaction and decision-making responsibilities. Strong analytical skills are required to review data, generate reports, and support process improvements. Fluency in German and English is required to handle documentation and internal communication effectively.

WHAT TASKS CAN YOU EXPECT?

  • Assist with administrative tasks in areas such as travel management, meetings and event management and coordination of communication
  • Maintain and update internal records, ensuring accuracy and compliance with company policies.
  • Support data entry, reporting, and document processing for various administrative functions.
  • Analyze data from internal systems to identify inconsistencies, improve accuracy, and generate reports as needed.
  • Assist employees with basic system-related inquiries and troubleshooting within defined guidelines.
  • Coordinate and track document flow related to internal approvals, compliance documentation, and proposal documents.
  • Work closely with internal teams to ensure smooth execution of operational tasks and suggest minor process improvements when necessary.
  • Support additional administrative tasks as needed to assist the team in day-to-day operations.

WHAT SKILLS AND EXPERIENCES SHOULD YOU HAVE?

  • Fluency in German and English (spoken and written) to handle documentation and communication.
  • Strong analytical skills to review data, detect discrepancies, and generate reports.
  • Attention to detail and ability to follow structured processes accurately.
  • Proficiency in administrative systems and tools (MS Office (Excel, Word), SAP, expense management, time tracking).
  • Organizational skills to manage multiple administrative tasks efficiently.
  • Ability to work independently within defined guidelines while ensuring accuracy and quality.
  • Problem-solving skills to support internal processes and reporting.
  • Some project management/coordination/PMO experience would be a strong asset.
