SUMMARY:

Provide higher level/complex administrative/project coordination support for Certification of Management Systems. The Senior Operations Representative will independently coordinate various projects for specialty schemes, such as IATF/AS/IT as required including communicating regularly with internal and external customers, ensuring services are delivered in accordance with customer expectations, within budget and on schedule.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Adhere to the TRNA procedures as defined in MS-005711, TRNA Navigation Tool.
  • Coordinate progressively more complex projects/audits as needed for a large area/region and/or multi-site customer. Using independent judgment, determine staff/project assignments to best meet customer requirements.
  • Initiate projects in databases, maintaining and updating project information in a timely manner to ensure accurate recording for the purpose of billing.
  • Manage the appropriate use of Auditors on projects keeping the needs to the business in mind (i.e. FTE utilization).
  • Act as main point of contact to audit/sales/certification staff and customers regarding project information, status, and schedule.
  • Provide excellent customer service through continuous and regular contact with customers for follow-up/updates, responding to inquiries, and researching/resolving any customer issues/problems.
  • Customers’ interaction may include senior level and international customers.
  • Manage records of timelines for individual customers (i.e. scorecards).
  • Maintain and update customer information in databases. Send out new customer packages/applications/contracts as needed.
  • Track and process customer/project/assignments billing for assigned department/group, working with accounting and customer to resolve any billing/accounts receivable/credit issues.
  • May manage certificate processing and printing certificates, submitting documents for review.

  • Act as mentor for and assist in training other Operations Representatives.
  • May coordinate and compile data/work of other Operations Representatives for management.
  • Provide support to the post audit team for necessary corrections to ensure timeliness of certificate issuance.
  • Provide status/schedule feedback to management as needed.
  • Provide general support for other internal customers as needed (i.e. complaints, appeals, corrective actions, etc.).
  • Perform other related duties and projects as assigned.

QUALIFICATIONS & REQUIREMENTS:

Knowledge, Skill, & Abilities

  • Strong project/time management and organizational skills with the ability to work in a fast-paced, multi-tasking environment coordinating multiple and changing priorities.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to work under pressure, carry out urgent requests and meet deadlines.
  • Must be articulate, professional, and customer service oriented.
  • Additional technical expertise in specialty schemes.

Education

  • High School Diploma or equivalent education and/or experience.

Experience

  • 2-4 years of experience in certification of management systems preferred.
  • Computer literacy required includes Microsoft Office applications.

PHYSICAL DEMANDS & WORK ENVIRONMENT:

  • Office environment with frequent sitting, walking, standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing.
  • Individuals must be able to verbally communicate with visitors, employees, callers, and customers.
  • Frequent use of eye, hand, and finger coordination enabling the use of office machinery and computers.

Travel Required:

  • Occasional attendance at specific scheme workshops, accreditation audits and/or experience exchanges.
