Job Description
Reception & Petty Cash Management:
• Greet visitors, clients, and vendors warmly, ensuring a positive and professional first impression.
• Handle incoming and outgoing couriers, and packages efficiently.
• Manage petty cash responsibly with accurate disbursement and reconciliation.
• Keep detailed transaction records with receipts & submit for approvals and forward to the finance team.
Monitor the Commercial Part of MAS Business:
• Oversee all commercial follow ups related to MAS operations.
• Create quote request and PO request & Tracking of quote, PO, Invoice & Payments for the MAS operations.
Enquiry Follow-Up:
• Collaborate with CoP teams to address client needs related to MAS commercials efficiently.
• Maintain accurate records of quote, PR, PO, Invoice & Payments and ensure proper documentation.
SR Posting and Monitoring:
• Manage SR hours postings in the internal systems.
• Monitor the progress of SR hours and ensure timely closure in collaboration with relevant teams.
• Provide periodic updates to stakeholders on SR statuses.
Filing Quotations, POs, Invoices, and Certificates:
• Organize and maintain records of all quotations, purchase orders (POs), invoices, and certificates.
• Ensure that documentation is filed systematically for easy retrieval and audit readiness.
• Monitor the validity and renewal dates of critical certificates and contracts.
HSE:
• Ensure adherence to the HSE roles, responsibilities & accountabilities as defined in MS-0047700-HSE Roles Responsibilities & Authorities.
• Comply and ensure implementation of the company’s and the customer’s Quality, Health and Safety and Environmental Process requirements.
Experience & Further Qualifications
- ■Minimum 2 years of professional experience in related area.
