Job Description
This role supports the efficient delivery of sustainability services by ensuring that audit activities are properly planned, resourced, monitored, and executed in line with internal procedures, client requirements, and applicable standards.
The ideal candidate has experience in coordination or back-office support within audit, certification, inspection, or technical services environments. They bring a structured approach, strong organizational skills, and the ability to work effectively with multiple stakeholders.
The successful candidate will support the planning and coordination of audit activities, working closely with auditors and clients to ensure smooth execution, traceability, quality oversight, and compliance with internal policies and regulations.
The role also includes administrative support, invoicing, and data management, with regular use of SAP and other internal systems.
This position is reserved for candidates belonging to protected categories, in accordance with Law 68/99.
Key Responsibilities
- ■Plan and schedule audits in line with required timelines and audit cycles.
- ■Support audit teams in defining audit plans, resources, deadlines, and objectives.
- ■Ensure the availability and readiness of resources needed for audit execution.
- ■Select auditors based on the skills and experience required for each client.
- ■Provide back-office and logistical support to clients and auditors.
- ■Monitor audit progress and provide updates to clients and internal stakeholders.
- ■Address issues arising during audit activities, ensuring alignment with agreed requirements.
- ■Maintain databases and recording systems to ensure audit traceability.
- ■Enter timesheets and ensure data accuracy and completeness.
- ■Create purchase orders and verify related information.
- ■Manage the creation and maintenance of client and service provider records.
- ■Use SAP and other internal systems to support daily administrative activities.
- ■Handle invoicing and related administrative processes.
- ■Support management control activities, including data uploads/downloads, reporting, and general business support.
- ■Assist in the management of disputes and follow-up actions.
Skills and Experience
Required Skills and Experience
- ■Experience in project coordination, planning, scheduling, or back-office support, preferably in audit, certification, inspection, or technical services.
- ■Good understanding of operational processes related to audit planning and service delivery.
- ■Ability to manage multiple activities simultaneously while maintaining accuracy and meeting deadlines.
- ■Familiarity with databases, reporting tools, and systems used for planning and tracking activities.
- ■Good practical knowledge of SAP, especially modules SD, MM, FI, and MD.
- ■Experience in invoicing and related administrative processes.
- ■Good command of digital tools used for data management and reporting.
- ■English proficiency at B2 level.
